The "Supervise" feature in timeghost allows supervisors to manage, view, edit, and delete the working hours of their assigned employees. Certain technical and organizational requirements must be met to use this feature.
1. Technical requirements
To use the "Supervise" feature, the following technical conditions must be met:
✅ The workspace must track working hours
The "Supervise" feature only works in workspaces where working hours are recorded.
If the workspace tracks only project times, this feature will not be available.
✅ The Supervisor(s) must be assigned
One or more supervisors and/or subordinates can be assigned to a single user.
The assignment is done by an admin in the personal settings of the respective user.
✅ The Supervisor(s) need(s) the correct permissions
The person acting as a supervisor does not need admin rights but must be explicitly assigned as a Supervisor for one or more users.
A supervisor can only see the working hours of their assigned employees, not the working hours of other users or teams.
Supervisors can create, edit and delete working times for their subordinate users and check these users out when working times are being recorded.
2. Organizational requirements
In addition to technical requirements, certain organizational guidelines must be met:
✅ Clear assignment of supervisors
The organization should define in advance who will act as a supervisor for which employees.
The role of a supervisor is primarily intended for team leads, department heads, or shift managers.
✅ Notification configuration *
Supervisors can choose whether they want to be notified of rule violations.
In the personal settings, supervisors can configure notifications for rule violations (immediate, daily, weekly, or no notification).
✅ No automatic insight into project times
The "Supervise" feature applies exclusively to working hours, not the project times of assigned employees.
If a supervisor needs access to project times, the appropriate project roles and permissions must be assigned in the project settings.
3. Limitations of the "Supervise" feature
To ensure proper use of the feature, the following limitations should be noted:
❌ No automatic access to project times
Supervisors do not have permissions beyond their assigned employees.
❌ No global rights
Supervisors do not have access to project times, as these are managed through project roles.
4. Conclusion
To use this feature, the workspace must be configured to track working hours, and supervisors must be correctly assigned.
Frequently Asked Questions (FAQ)
❓ Why don’t I see the "Supervise" feature?
Check whether your workspace tracks working hours.
❓ Can a supervisor manage project times?
Supervisors can manage project times for other users if they have a corresponding role within a project. The “Supervise” authorization alone does not entitle them to see or manage the project times of users who report to them.
❓ Can a supervisor edit or delete their assigned employees' working hours?
Yes, supervisors can create, edit, delete, and check out working hours for their assigned employees.
❓ How can I assign or change a supervisor?
Admins can see the supervise area in general, provided that working hours are maintained in the work area. They can make other users a supervisor by assigning them at least one subordinate in the team area of their work area in their user settings. As soon as a user is assigned a subordinate, the “Supervise” area is also displayed in the main navigation on the side.
